This Privacy Policy explains how information is collected, used, processed and protected when you use the LiveSet mobile application, web platform and related services (collectively, the “Services”). By using LiveSet, you agree to the practices described in this Privacy Policy.

SoundAware delivers music usage monitoring, recognition and reporting solutions for broadcasters, rights organisations, media companies and the live music industry, across both media and on-site environments.

About LiveSet

LiveSet is a professional platform designed to support the capture, processing and management of live music performances and setlists. The platform enables users to document performances, process recordings for music recognition, manage event-related metadata and support operational or reporting workflows connected to live music environments.

Depending on how the Services are used, LiveSet may process information relating to users, performances, recordings, uploaded materials and technical system data.

Information we collect and process

In order to provide the LiveSet services effectively, securely and reliably, we may collect and process a limited range of information related to user accounts, live events, recordings and platform usage. LiveSet follows a strict data minimisation principle, meaning we only collect and process information that is reasonably necessary to operate the platform, deliver the requested services and maintain system performance and security.

Depending on how the Services are used, LiveSet may process the following categories of data:

  • Account and organisational information, such as names, email addresses, company details and authentication credentials
  • Event and performance information, including venue names, event titles, timestamps, setlists, annotations and operational metadata entered by users
  • Setlist and music usage data, including identified tracks, manually entered track data and imported playlists or metadata
  • Audio recordings captured or uploaded through the app for music recognition purposes
  • Supporting materials voluntarily uploaded by users, such as photos, notes, documents or external metadata files related to performances or reporting workflows
  • Technical and diagnostic information, including device type, operating system version, application version, IP address, crash reports and usage analytics
  • Approximate location or venue-related information, where relevant to the workflow or explicitly enabled by the user

Because LiveSet is specifically designed for professional live music and broadcast environments, recorded or uploaded audio is processed solely for the purpose of music recognition using audio fingerprinting and related music identification technologies.

The platform is explicitly not intended or used for:

  • Voice recognition
  • Speech analysis
  • Surveillance
  • The identification of individuals
  • The analysis of private conversations
  • The extraction of speech-related personal information

Audio processing is exclusively focused on detecting and matching musical content in order to generate accurate setlists and music usage records. Where technically feasible and operationally appropriate, LiveSet minimises the retention of raw audio recordings and prioritises the extraction of non-personal recognition data required to support the requested services.

How we use information

The information processed through LiveSet is used to operate, maintain and improve the Services. This includes enabling music recognition workflows, generating and validating setlists, supporting collaboration and reporting processes, improving recognition accuracy, maintaining platform security and providing customer support.

Audio recordings submitted through LiveSet may be processed using SoundAware’s Multilayer Music Recognition (MMR) technology and related recognition systems. This processing may involve audio fingerprinting, melody analysis, metadata matching, lyrics-based matching and AI-assisted identification techniques in order to improve recognition reliability in real-world live performance environments.

We may also use aggregated or anonymised technical information to monitor platform performance, improve functionality and optimise the user experience.

SoundAware does not sell personal data to third parties.

Legal basis for processing

Where the General Data Protection Regulation (GDPR) applies, LiveSet processes personal data on the basis of contractual necessity, legitimate interests, user consent and compliance with legal obligations, depending on the nature of the processing activity.

Our legitimate interests include maintaining secure and reliable services, improving music recognition performance and supporting professional live music documentation workflows.

Sharing of information

In order to operate the Services, LiveSet may share information with trusted service providers, infrastructure partners and cloud hosting providers that support the technical operation of the platform. Information may also be shared with analytics and monitoring providers, or with rights management and reporting organisations where such sharing forms part of the intended workflow initiated by the user. We may also disclose information where required by law, regulation or valid legal process.

All third-party service providers engaged by LiveSet are expected to process information securely and in accordance with applicable privacy and data protection laws.

International data transfers

Some information processed by LiveSet may be transferred to or processed in countries outside the user’s country of residence. Where international transfers occur, we take reasonable steps to ensure that appropriate safeguards and legal protections are in place.

Data retention

LiveSet retains information only for as long as necessary to provide the Services, support operational and reporting workflows, comply with legal obligations, resolve disputes and enforce agreements.

Retention periods may vary depending on the nature of the data, the contractual relationship with the user and applicable legal or regulatory requirements.

LiveSet implements reasonable technical and organisational measures designed to protect information against unauthorised access, misuse, loss, alteration or disclosure. This includes the use of secure infrastructure, controlled access mechanisms and protected storage environments.

While we work continuously to maintain the security of our systems, no method of electronic transmission or storage can be guaranteed to be completely secure.

White-label services and partner platforms

LiveSet is developed, operated and maintained by SoundAware and may be offered both as an independent product and as a white-label or co-branded solution on behalf of third-party organisations, partners or clients.

As part of these partnerships, LiveSet functionality may be integrated into platforms, workflows or services operated under the branding of external organisations, including collecting societies, broadcasters, event organisations or rights management entities such as GEMA.

Where LiveSet is provided through a partner or white-label environment, certain operational, contractual or data processing responsibilities may be shared with or delegated to the relevant partner organisation, depending on the nature of the service relationship and applicable agreements. In such cases, users may also be subject to the privacy policies, terms or operational procedures of the relevant partner platform in addition to this Privacy Policy.

Changes to this Privacy Policy

This Privacy Policy may be updated periodically to reflect changes in legal requirements, technologies or operational practices. Updated versions will be published through the LiveSet website or application environment.
